How to build a direct booking website for your vacation rental

A direct booking website lets guests book and pay you without a platform in between. The site itself can be running in an afternoon; what takes longer is the content that makes guests trust it. These ten steps work with any website builder, and where Stayveo does a step for you, we say so.

Why guests book direct

Guests book on your own site when four things come together: they found you by name or through someone they trust, the site looks real and current, the total price is clear and fair, and they can pay safely by card. Every step below serves one of those four.

1. A name and a domain

Choose a name that is short, easy to spell and not used by another rental nearby; search for it before you decide. Then take a domain that matches: a .com, or your country's own domain if most guests come from your country. Ideas: the name generator. Costs: what a domain costs. With Stayveo the domain is included and renewed free every year.

2. Choose how to build it

RouteMonthly cost for one propertyGood when
Booking-website service (Stayveo, Book With Haven)$9 for Stayveo, $15 for HavenYou want direct bookings quickly and calendar links are enough
Rental software with a website (Lodgify, Smoobu, OwnerRez, Hospitable)€28 to $59You also want a channel manager and a shared inbox
General website builder (Wix, WordPress) with a booking add-onfrom $29 on Wix (yearly) plus the add-onYou want to design every page yourself

3. Photos

Real photos sell more than anything you write. Shoot every room from the doorway in daylight, with lights on and clutter away; then the bathroom, the kitchen, the outside, the view, the entrance and the street or parking. Add anything special: the terrace at sunset, the fireplace, the walk to the beach. Use your own photos, not stock pictures: guests notice.

4. The description

Write it for the guest who is deciding, in this order:

  • Who it suits: couples, families, groups, remote workers, pets.
  • Sleeping: every bedroom with its beds and sizes, plus sofa beds.
  • Bathrooms, kitchen and outdoor space.
  • Parking, stairs, lift and accessibility.
  • Distances: to the beach, the centre, the station, the nearest shop.
  • Check-in: self check-in or a meeting, and from what time.

Write your own text rather than copying your platform listing word for word: a copy makes your site look like a duplicate to Google.

5. Prices guests can trust

Show the full price before the guest pays: nightly rate, cleaning fee, tourist tax and any extras, adding up to one total. Surprises at checkout are the most common reason guests leave a booking site. Set the minimum stay and the check-in days you accept, and price weekends and seasons separately if your platforms do.

6. Calendar sync

Every platform gives you a calendar link (iCal): in each one's calendar settings, look for "sync calendars", "export calendar" or "iCal". Paste these links into your website, and paste your website's link into each platform, so that a booking anywhere blocks the dates everywhere. Platforms refresh these links on their own schedule, from minutes to a few hours, so keep a buffer night or block same-day bookings. Stayveo reads your platform calendars every 30 minutes and gives you its own link to paste into Airbnb, Booking.com, Vrbo and Agoda.

7. Payments

Connect a payment account in your own name, such as Stripe or PayPal, so that guests pay you directly. A standard European card costs about 1.5% + €0.25 with Stripe; premium, UK and non-European cards cost more. Decide what you take when the guest books (the full amount, or a part with the rest some weeks before arrival) and state your refund rules clearly. For deposits, say how much, when you take it and when you release it.

8. Rules and paperwork

  • House rules guests accept when booking: house rules generator.
  • A cancellation policy in plain words, and a rental agreement for longer or higher-value stays.
  • Your registration number wherever the law requires it in ads: Italy's CIN, Spain's regional number, France's numéro d'enregistrement, Portugal's AL number, Greece's AMA.
  • A privacy notice and the legal details your country requires on a website, such as the Impressum in Germany and Austria.
  • Tourist tax and guest registration, as you do for platform bookings.

Stayveo's booking sites show your registration numbers and generate the legal pages from your details.

9. Help Google find the site

Put your property's name and town in the page title, give every property its own page, add the site to Google Search Console and submit its sitemap. New sites usually take from a few days to a few weeks to appear. The full guide: your rental on Google.

10. Your first direct guests

Your first direct bookings come from channels you own: guests who already booked direct, your own social media, local partners (restaurants, event organisers, companies that send staff), friends of past guests, and people who search for your property by name. Put the website on your business card and on the welcome sign for guests who booked direct.

With Airbnb guests, follow Airbnb's off-platform policy: don't invite them to book elsewhere, don't put links in listings or messages, and don't use their contact details for marketing. Why direct bookings pay off and how the fees compare: direct bookings vs Airbnb.

Mistakes to avoid

  • A site without live availability or prices: guests leave and book elsewhere.
  • Fees that appear only at checkout.
  • No calendar sync, or no buffer night: the first double booking costs more than a year of software.
  • A site that isn't in your own name: you can't take the domain or the guest list with you.

Frequently asked questions

How much does it cost to build a direct booking website?

From $9 a month for one property with Stayveo (domain included) or $15 with Book With Haven, about €28 to $59 a month with rental software that includes a website, or a general website builder plus a booking add-on. Card processing of about 1.5% to 3% per booking comes on top.

Can I build a vacation rental booking website for free?

Not completely. Hosting, a domain and card processing all cost money, and free plans of website builders don't take bookings with payment. Free trials let you build and test the site first: Stayveo's is 30 days, without a card.

Can I have my own booking website if I list on Airbnb?

Yes. Airbnb doesn't forbid having your own website. It forbids encouraging Airbnb guests to book outside Airbnb, links that take people off Airbnb in listings or messages, and using guests' Airbnb contact details for marketing.

How do I avoid double bookings?

Sync the calendars: paste each platform's calendar link (iCal) into your website and your website's link into each platform. Because platforms refresh these links with a delay, keep a buffer night or block same-day bookings, or use a channel manager if you take many last-minute bookings.

How long does it take to build a booking website?

With a booking-website service, an afternoon once your photos and texts are ready. Writing a good description and taking the photos usually takes longer than the setup.

Do I need to register a business to take direct bookings?

It depends on your country, not on the booking channel: the same rules on registration, tax and guest registration apply to direct and platform bookings. Check your country's rules or ask an adviser.
